Registered Electronic Mail (KEP)

Registered Electronic Mail (KEP) is a transmission service that uses the e-mail technological infrastructure and allows legally valid e-mail transmission in which evidence of sending and receiving e-mail is created and stored. This service is provided by KEPHS authorized by ICTA.
 
Control of the KEP account on behalf of the Ege University Rectorate is under the duty, authority and responsibility of the Registrar's Office of the General Secretariat.

About Documents Incoming By Registered E-Mail
 
"Regulation on the Procedures and Principles to be Applied in Official Correspondence" was published in the Official Gazette dated 02/02/2015 and numbered 29255, and with the 28th article of the aforementioned regulation, the official letters signed with secure electronic signature within the scope of Electronic Document Management Systems (EBYS) allowed to be sent.
 
The aforementioned correspondence to be made in the electronic environment must comply with the e-Correspondence Technical Guide prepared and put into effect by the Ministry of Development pursuant to subparagraph (i) of the first paragraph of Article 3 of the same regulation. It has been explained that the electronic mail (KEP) system registered as a "third party" will be used pursuant to the provision "It is essential that the sending and receiving of documents with secure electronic signature are recorded through a third party authorized by the relevant legislation..." in the eighth paragraph of article 28 of the regulation.
 
In this context, our University switched to the electronic correspondence system on 01/03/2016 and again in March 2016, it took the address egeuniversitesi@egeuniversitesi.hs03.kep.tr and started using the registered e-mail system to send and accept documents.
 
 
The "Regulation on the Procedures and Principles to be Applied in Official Correspondence" was renewed and published in the Official Gazette dated 10/06/2020 and numbered 31151, and with the 30th article of the aforementioned regulation, the electronic documents signed with secure electronic signature within the scope of Electronic Document Management Systems (EBYS) The delivery process has been expedited.
 
Official documents received from the KEP address of our university are sent to the relevant unit via the Electronic Document Management System (EBYS) and are not sent separately in the physical environment. The attachment(s) of the said documents should be checked in the "Appendix" and "Related Document" sections on the system.
